The Lee Abbey Movement (registered company number 4428832 and charity number 1094098) takes the protection of your data seriously. Sometimes we need to collect personal data to provide the service you expect, and when we do, we will explain clearly what we are collecting and what we intend to do with it.
What personal information we collect
When you fill in the contact form, the site securely processes and stores what you enter, and emails it to the Friends Office, or to the relevant Movement entity (Devon, London, etc.) you have selected on the form. They use it to respond accordingly, archiving correspondence just like you would expect any responsible organisation to do.
When you contact the Lee Abbey Movement or the Friends Office by phone, email or post, they will also use your contact details and personal information to respond appropriately and store and archive it securely.
When you ask the Lee Abbey Movement to update your contact details, they will also communicate this request, and the personal information it contains, between other organisations within the Lee Abbey Movement to ensure all similar records are correctly updated.
When you apply to join the Friends or set up a standing order or Gift Aid declaration, the Lee Abbey Movement will ask you for personal information and account details they need to process your subscription or donation and to claim Gift Aid if applicable. Again, these will be securely stored and processed, and while for operational reasons they may be shared with other organisations in the Movement, they will not be sent anywhere else.
When you visit this site, the server and site security software may process and store your computer’s IP address (which contains approximate location information) within the scope of the law, to prevent unauthorised access and ensure the site works as intended. The server deletes these logs after 4 weeks.
Cookies
This site does not set cookies for visitors, unless they specifically consent to it before watching an embedded video or other embedded content. Once you consent, the provider may set cookies and track you according to their privacy policy.
The site sets essential cookies when using the admin area, in order to make the login work properly.
How and where your data is stored
The site uses a securely encrypted connection to transfer any information you submit, and stores it in a database on the server, which is based in the UK. We take backups regularly which are stored, encrypted, on Dropbox for up to 4 weeks. We use secure passwords to protect the data and do not share access with anyone except our Web developer and companies like the server host who are directly responsible for providing the services the site relies on. They, in turn, never take advantage of that access or pass it on to anyone else without explicit consent.
Disclosing and sharing your information
We do not sell personal data to anyone. We only share personal information when it’s necessary to do what you have asked us to do, or if we are legally obliged to.
Friends data is not passed to other parts of the Movement, e.g. Devon or London, for marketing activities. Contact details for these activities are held by London and Devon themselves who have responsibility for their security and control. This does mean that we cannot share notifications received by Friends, such as of change of address or other details, with other parts of the Movement unless explicitly requested to do so.
Access to your personal information
You have the right to know what information we hold about you. If you contact us and ask, we will be happy to:
- tell you what information we hold;
- tell you why we are holding it;
- tell you who it could be disclosed to;
- update it if it’s inaccurate;
- remove it (unless there’s a legitimate reason why we need to keep it); and
- let you have a copy of the information in an intelligible form.
